How to compress pictures in PowerPoint

Twenty slides of phone photos and a deck is past 60 MB — too big for Outlook, slow to open on a conference-room laptop, rejected by whatever portal wants the submission. PowerPoint ships with a compressor that fixes this in about four clicks. It is just buried on a ribbon tab that only exists while a picture is selected.

Compress every picture in a deck: the five clicks

PowerPoint for Windows, Microsoft 365 and 2016–2021. The Mac and web versions differ — see below.

  1. Click any picture on a slide

    Selecting a picture reveals the Picture Format tab in the ribbon. In PowerPoint 2016 and 2019 the same tab is labelled Picture Tools → Format.

  2. Open Picture Format → Compress Pictures

    The button sits in the Adjust group at the far left of the ribbon, next to Corrections and Color. Its icon is a picture with two arrows pointing inwards.

  3. Untick “Apply only to this picture”

    Leaving it ticked compresses the one image you selected. Unticking it applies the same settings to every picture in the deck, which is what you want when the goal is a smaller file.

  4. Tick “Delete cropped areas of pictures”

    Cropping in PowerPoint only hides the pixels outside the frame — they stay in the file. This checkbox throws them away permanently and is often the single biggest saving in a deck built from screenshots.

  5. Choose a resolution and click OK

    Web (150 ppi) is the right default for a deck that will be presented or emailed. Print (220 ppi) if it will be printed as handouts. Then save the file — the size drop only shows up on disk after a save.

Check the result with File → Info, or just look at the file on disk. A deck of full-size phone photos routinely drops from 60 MB to under 8 MB at 150 ppi, and decks full of cropped screenshots can fall further than that.

What the resolution options actually do

The dialog offers pixels per inch, not kilobytes, which makes the choice harder than it needs to be. PowerPoint measures the ppi against the size the picture occupies on the slide — so the same photo scaled to a quarter-slide thumbnail survives a much harsher setting than one stretched full-bleed.

  • High fidelity — keeps the original pixels and only re-encodes. Saves almost nothing. Pick it when the deck is going to a print shop.
  • HD (330 ppi) — for decks that will be shown on a 4K display or projected very large. Still a big file.
  • Print (220 ppi) — the safe choice for handouts and anything that will be printed on paper.
  • Web (150 ppi) — the one to use by default. Sharp on any screen and any projector, and typically the setting that does most of the work in cutting the file down.
  • E-mail (96 ppi) — the smallest option. Photos look soft when they fill a slide; charts and logos hold up better. Reach for it only when a hard attachment limit leaves no choice.

One important asymmetry: PowerPoint never adds pixels. If a picture is already below the resolution you pick, it is left alone — which is why running Compress Pictures a second time at the same setting changes nothing.

Cropped pictures are still full-size pictures

PowerPoint's crop tool is non-destructive: it moves a frame over the image and hides everything outside it, so you can drag the crop back open later. Every hidden pixel is still stored in the file. Crop a 24 MP photo down to one detail and the deck carries all 24 megapixels.

Delete cropped areas of pictures in the Compress Pictures dialog discards them. It is the fastest win in any deck assembled from screenshots or stock photos, and it is irreversible — the crop can no longer be widened afterwards.

Mac, web, and the two shortcuts worth knowing

PowerPoint for Mac

Same route — select a picture, Picture Format → Compress Pictures — with a shorter menu. You get Print (220 ppi), Web (150 ppi) and E-mail (96 ppi), the delete-cropped-areas checkbox, and a choice between the selected pictures and all pictures in the file. There is no High fidelity option.

PowerPoint for the web and Google Slides

Neither has a compress command at all. The only lever is what you upload, so the picture has to be small before it goes in — compress it first, then insert. Same story for anyone building slides on an iPad or a Chromebook.

Compress while saving

On Windows, File → Save As → Browse opens the classic save dialog, and the Tools dropdown next to the Save button holds Compress Pictures. Handy for producing a lightweight copy while leaving the working file at full quality.

Set the default for a deck

File → Options → Advanced → Image Size and Quality. Setting the default resolution to 150 ppi and ticking Discard editing data means new pictures come in already downsampled. The opposite switch lives here too: Do not compress images in file, which is the usual explanation when compression appears to do nothing. Note that these apply to the named document, not to PowerPoint globally.

When PowerPoint's compression is not enough

The built-in compressor has two hard limits. It stops at 96 ppi, so there is no way to push further when a deck still will not fit under an attachment cap. And it gives you no number to aim at — you pick a ppi, save, look at the result, and repeat if you guessed wrong.

Compressing pictures before inserting them solves both. You set the quality or the exact file size you want, drop the smaller file onto the slide, and the deck never bloats. It also avoids the double re-encode you get from inserting a big JPEG and letting PowerPoint squash it later — each pass throws away detail, and the second one is where slides start looking blocky.

If the deck is still huge, it is not the pictures

A .pptx is a zip archive. Rename a copy to .zip, open it, and look inside ppt/media — that folder holds every image, video and sound in the presentation, sorted by size. If it is small but the file is not, the weight is somewhere else:

  • Embedded video and audio — one screen recording outweighs a hundred photos. File → Info → Compress Media handles these separately from pictures.
  • Embedded fonts — File → Options → Save → Embed fonts in the file. Choosing “embed only the characters used” instead of the full set can save several megabytes.
  • Leftover slide masters — templates inherited from another deck drag along layouts and their background images. View → Slide Master, then delete the layouts nothing uses.
  • Pasted rather than inserted — pasting a picture from a browser or Word can embed it as an uncompressed bitmap. Insert → Pictures → This Device gives a cleaner result.

If the deck is still huge after that, the weight is not in the pictures — check for embedded video, audio, or embedded fonts.
Does compressing pictures in PowerPoint lose quality?
Yes, and it cannot be undone once you save and close the file. PowerPoint downsamples to the ppi you pick and re-encodes as JPEG. At 150 ppi the loss is invisible on a projected slide. Keep an uncompressed master copy of the deck before running it over the whole file.
